Expiration Dates Are Great Reminders

Expiration dates, in the Member Database, help track time-sensitive information, such as licenses, certifications, training, and equipment. Each expiration date can have a customized number of days for the expiration notice, allowing for different lead times to complete specific continuing education, or receive various types of equipment. Expiration dates can also be used to prevent accidental scheduling of members with expired information when expiration date restrictions are defined.

To set up a custom Expiration Notice for an expiration date, in the Member Database, modify the number of days in advance to be notified. See below.

Based on My Info, My Alert settings, members will automatically receive notifications by email and/or text messages for expiring and expired dates. See the example below for a member’s view of this notification preference and notice the checkmarks are grayed out, because only Top-Level Administrators can change this notification preference.

Administrators have an additional option to be automatically notified of other members expiring and expired dates by customizing notification settings on My Info, as shown in the example below.

Scheduling members, submitting extra hours, and signing up for shifts may be prevented based on restrictions defined in expiration dates. To define a restriction on an expiration date, in the Member Database Configurator, edit the expiration date and select the necessary level of restriction, see the example below.

In the following example, when signing up for a shift, a member is required to get admin approval because the member’s certification has expired. 

As shown below, a scheduler is not allowed to add a member to the schedule because the member’s certifications have expired.
